KryptoTrak Configuration and Support

Congratulations on your deployment of KryptoTrak! This page is provided to assist you in the initial configuration of the application. There is very little to configure to get started – just permissions. Because KryptoTrak is a solution that is provided for Microsoft Dynamics 365, you will log into Microsoft Dynamics 365 as a System Administrator and configure permissions for your users. This is accomplished by using roles assigned to your users. Click below to open the Roles section below to view the roles you will be working with. Security Roles

The following security roles are used in KryptoTrak. It should be understood that a given user may have more than one role in Dynamics 365.  If a user has more than one role, the least restrictive set of permissions between all roles is provided for the user.

  • System Administrator. This is not a custom role, but is the highest level of permissions that are available in Microsoft Dynamics 365. If a user has this role, they can create, view, edit, delete, and assign all relevant records in the system.  This role is also very powerful in that the entire system can be manipulated at almost every level. Generally, very few people should have this role.
  • KryptoTrak Admin. This custom role allows the create, view, edit, delete and assign permissions on all KryptoTrak records, regardless of who owns them.
  • KryptoTrak and Marketing. This custom role is based on the Dynamics 365 Marketing Professional role with additional permissions to be able to use all of the KryptoTrak entities. For those entities, by default, the READ permission is global scape, which means that a user with this role can see ALL entity records.  For EDIT (write, or update), DELETE and ASSIGN, the permissions are set to User-scope, which means those permissions are relevant only for the records that the user owns.
  • KryptoTrak and Salesperson. This custom role is based on the Dynamics 365 Salesperson role with additional permissions to be able to use all of the KryptoTrak entities. For those entities, by default, the READ permission is global scape, which means that a user with this role can see ALL entity records.  For EDIT (write, or update), DELETE and ASSIGN, the permissions are set to User-scope, which means those permissions are relevant only for the records that the user owns.
  • KryptoTrak and Service Rep. This custom role is based on the Dynamics 365 Customer Service Representative role with additional permissions to be able to use all of the KryptoTrak entities. For those entities, by default, the READ permission is global scape, which means that a user with this role can see ALL entity records.  For EDIT (write, or update), DELETE and ASSIGN, the permissions are set to User-scope, which means those permissions are relevant only for the records that the user owns.
  • KryptoTrak Team Member. Because KryptoTrak supports the Microsoft Dynamics 365 Team license, this role should be used for any Team Member licensed users.  This role has all permissions available to the Dynamics 365 Team functions, such as Account/Contact (Organization/Person in KryptoTrak), activities, plus to use all of the KryptoTrak entities. For those entities, by default, the READ permission is global scape, which means that a user with this role can see ALL entity records.  For EDIT (write, or update), DELETE and ASSIGN, the permissions are set to User-scope, which means those permissions are relevant only for the records that the user owns.
Steps to Add Roles to User

For your Dynamics 365 users that do not have the System Administrator role, they would need need at least one custom KryptoTrak role to use the KryptoTrak entities. Please follow the steps below to assign at least one custom KryptoTrak role to any user in your Dynamics 365 instance.

  1. As System Administrator, log into your instance of Microsoft Dynamics 365 where KryptoTrak is installed.
  2. Click the Settings tile and the Security icon as shown below. (If you don’t see Security in Settings as shown below you may not be logged in with a System Administrator role.  Please see your Microsoft Dynamics Administrator and ask them to “Promote” your user account.)
  3. Click the Users link as shown below.

4. Follow the remaining steps as shown in the screen shot below, using steps 1-4 as they are marked on the screen shot:

  1. Select User or Users for which you wish to apply the role(s) to.
  2. Click Manage Roles.
  3. Select one or more Roles from the list to apply to the selected users.
  4. Click OK.

Now the user or users has the role or roles that you have assigned. Please bear in mind that if a user logs into the Microsoft Dynamics 365 instance, and they do not see the any KryptoTrak entities (such as Projects, etc.) then they most likely do not have a KryptoTrak user role.  They must be assigned a role to use the KryptoTrak system.
